Privacy Policy
Effective October 26, 2026
Pacific Front Desk LLC ("we") runs this social media management service for the businesses we work with ("clients"). This policy explains what data the service handles when a client connects a Facebook Page, Instagram, Threads, TikTok, X, LinkedIn or YouTube account, and how that data is used.
Data we collect
- Account details from the platforms you connect: account or Page name, username, profile picture and account IDs.
- Access tokens issued by the platforms, so we can publish and read data on your behalf.
- Content we create or schedule for you: captions, images and videos, schedules, and your approvals or change requests.
- Performance metrics of published posts, such as views, likes, comments, shares and saves.
- Comments on your posts and direct messages sent to your accounts (Facebook, Instagram and Threads only), including the sender's public name and username, so we can reply and moderate for you.
- For our own staff: a login session cookie. We do not use advertising or tracking cookies.
How we use it
- To publish the posts you approve to the accounts you connected.
- To show you reports on how your posts perform.
- To read, answer, hide or archive comments and messages on your accounts.
- To draft captions and reply suggestions with AI. A person on our team reviews them before anything is published or sent.
We do not sell your data, use it for advertising, or use it to build profiles of the people who comment on or message your accounts.
Who we share it with
- The platforms themselves (Meta, TikTok, X, LinkedIn, Google/YouTube), when we publish or reply on your behalf.
- Anthropic, whose Claude API drafts captions and replies. Content sent for drafting is not used to train their models.
- Our hosting and storage providers, which store the data for us under their own security obligations.
- Authorities, only when required by law.
YouTube
When you connect a YouTube channel, this service uses the YouTube API Services. By connecting a channel you also agree to the YouTube Terms of Service, and Google handles your data under the Google Privacy Policy.
- What we access: your channel's name, handle, ID and picture, and the views, likes and comment counts of the videos we upload for you.
- What we do with it: upload the videos you approve, with the title, description and visibility shown to you before publishing, and show you how they perform. We never upload, change a video's visibility or edit its text without your approval.
- We store the channel details, an encrypted access token and the video statistics in our database, and refresh the statistics at least every 30 days while you stay connected. We do not share YouTube data with anyone else.
- You can revoke access at any time on the Google security settings page, myaccount.google.com/permissions, or ask us to disconnect the channel. When the channel is disconnected in our service we revoke the token with Google right away and delete the stored YouTube data within 7 days; after a revocation on Google's page we delete it within 30 days.
Storage and security
Data is stored on servers in the United States. Access tokens are encrypted (AES-256-GCM). Only our staff can sign in to the dashboard. Media files you approve for publishing are stored at public addresses, because the platforms download them from there.
Retention
We keep your data while you are a client. When a client relationship ends, or on request, we delete the client's accounts, tokens, posts, media, metrics, comments and messages within 30 days.
Your choices and data deletion
- You can revoke our access at any time: Facebook and Instagram under Settings > Business Integrations, Threads under Settings > Account > Website permissions, TikTok under Settings > Security > Manage app permissions, YouTube (Google) at myaccount.google.com/permissions.
- To have your data deleted, or to get a copy of it, email us from the address you use with us. We confirm and complete the deletion within 30 days.
- If someone who commented on or messaged a client's account wants their data removed, they can contact us the same way.
Children
The service is for businesses and is not directed at children under 13.
Changes
If we change this policy, we update the effective date above and tell our clients about material changes.
